What it is
What is a managed office?
A managed office is a self-contained space, often a whole floor, that an operator fits out to your requirements and then runs for you. You get your own entrance, your own branding and your own meeting rooms, with one monthly bill covering rent, rates, service charge, fit-out, furniture, utilities and facilities management.
Managed offices typically run on 12 to 36 month terms because the fit-out is spread across the agreement, and they usually cost more per desk than serviced space. They suit established teams who want their own identity without signing a traditional lease.

Questions about managed offices
How much does a serviced office cost in London?
Recent published medians sit at around £610 to £650 per desk per month across London, before VAT. Prime West End areas cost far more: Mayfair is close to £1,000 per desk. Your price depends on area, building, term and the number of desks, so we compare like for like across operators.

What is included in a serviced office?
Normally rent, business rates, utilities, internet, cleaning, furniture and reception in one monthly fee. Some operators charge separately for meeting rooms, printing, parking or phone lines, so we ask for the full inclusion list before you sign.

What is the difference between a serviced and a managed office?
A serviced office is a furnished private office inside an operator's building, with shared reception, kitchens and meeting rooms. A managed office is a self-contained space the operator fits out and runs for your business alone, with your own entrance and branding, typically on 12 to 36 month terms. Managed space usually costs more per desk.

How long are the contracts?
Serviced offices can run from a few months up to two years or more, and managed offices typically run 12 to 36 months. Longer terms usually earn a lower desk rate, which is why we focus on 12, 24 and 36 month agreements. Where an operator allows it, we can also look at a 12 month agreement with a break clause at month 6.

What deposit will I pay?
Usually one to two months of the monthly fee. London & Partners advises expecting a two month deposit on signing, though some operators ask for less. It is one of the terms we negotiate.

How quickly can we move in?
A serviced office can often be ready within days because it is already furnished and connected. A managed office usually takes several weeks because it is fitted out for you.

Do I pay VAT on a serviced office?
In most cases, yes, at the standard rate. HMRC treats serviced office space with services as a standard rated supply, and many buildings are opted to tax. Prices are usually quoted before VAT, so we always show you the figure both ways.
Is a serviced office agreement a lease?
Usually not. Most serviced and managed offices are let on a licence to occupy, which is a permission to use the space rather than a legal interest in the property. It is simpler and more flexible than a lease, but read the terms on notice and renewal carefully.
